2. What Data We Collect and Why
2.1 Website Enquiries and Contact Forms
When you submit an enquiry through any of our websites (uscn.uk, uscn.org.uk, shop.uscn.uk), we collect your name, email address, phone number, and the details of your enquiry.
Lawful basis: Legitimate interests (Article 6(1)(f) UK GDPR) — to respond to your enquiry and provide the service you've requested.
Retention: We retain enquiry data for 12 months from the date of last contact.
2.2 Customers and Service Contracts
When you purchase installation, maintenance, or consulting services from us, we collect your name, contact details, property address, and payment information (processed by Stripe — we do not store payment card details directly).
Lawful basis: Contract performance (Article 6(1)(b) UK GDPR) — to deliver the services you have paid for.
Retention: We retain customer records for 7 years from the end of the contract in accordance with HMRC requirements.
2.3 Shop Purchases
When you purchase hardware through our shop, we collect your name, delivery address, contact details, and order information. Payment is processed by Stripe.
Lawful basis: Contract performance (Article 6(1)(b) UK GDPR).
Retention: Order records retained for 7 years.
2.4 CCTV Footage — Installed Systems
Where we install cameras at your property, the recording system is typically located on your own premises. In this configuration, you are the data controller for footage captured by your system. We access footage only when required to provide maintenance or technical support, and only with your authorisation.
Where we provide a managed service or host footage on your behalf, we act as a data processor under a written data processing agreement.
2.5 CCTV Footage — Public Safety Network
For cameras forming part of our free public safety network, USCN is the data controller. Footage is retained for a maximum of 31 days before automatic deletion. Cameras are positioned in publicly accessible areas and appropriate signage is displayed at each location.
Data subject access requests for footage are processed in accordance with Article 15 UK GDPR. Identity verification is conducted via Stripe Identity before footage is released. We do not share footage with third parties except where required by law, including police requests under Schedule 2 of the Data Protection Act 2018.
Lawful basis: Legitimate interests (Article 6(1)(f) UK GDPR) — crime prevention, public safety, and evidence preservation for law enforcement.
2.6 Data Subject Access Request Verification
When you submit a DSAR, we use Stripe Identity to verify your identity. You upload identification directly to Stripe — we do not receive or store your identification document. We receive only a name confirmation to match against your request. Verification data is redacted within one month of the request being fulfilled, with only date of birth retained for a further 30 days for administrative purposes before deletion.
2.7 Phone Calls
Calls to our business numbers may be recorded for training and quality purposes. Where recording is active, callers are informed at the start of the call. Call recordings are retained for 90 days.
2.8 Cookies and Advertising
Our websites use cookies to ensure they function correctly and to understand how visitors use the site. Where we display third-party advertisements (including Google AdSense), those providers may set their own cookies on your device to serve relevant advertising.
You can control cookie preferences through your browser settings. Disabling cookies may affect the functionality of our websites.
Google's use of advertising cookies enables it and its partners to serve ads based on your prior visits to our websites. You can opt out of personalised advertising at www.aboutads.info.
2.9 Google Analytics and Search Console
We use Google Analytics and Google Search Console to understand how our websites are used. This data is anonymised and aggregated — we do not use it to identify individual visitors.
2.10 Email Communications
If you contact us by email, we retain that correspondence as part of your customer or enquiry record. We do not send marketing emails without your explicit consent.
3. Who We Share Your Data With
We share data only where necessary to deliver our services:
Stripe — payment processing and identity verification. Stripe's privacy policy is available at stripe.com/privacy.
Google — advertising (AdSense), analytics (Google Analytics), and search performance (Search Console). Google's privacy policy is available at policies.google.com/privacy.
AXA Insurance — where insurance claims arise in connection with our services.
Police and law enforcement — where legally required, including under Schedule 2 of the Data Protection Act 2018 (prevention or detection of crime).
ICO — where required to comply with regulatory obligations.
We do not sell your personal data to any third party.
4. Your Rights
Under UK GDPR you have the right to:
Access the personal data we hold about you (Article 15)
Rectification of inaccurate data (Article 16)
Erasure of your data in certain circumstances (Article 17)
Restriction of processing (Article 18)
Data portability (Article 20)
Object to processing based on legitimate interests (Article 21)
Withdraw consent where processing is based on consent (Article 7)
To exercise any of these rights, contact us at [email protected]. We will respond within one calendar month.
If you are dissatisfied with how we handle your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.
5. Data Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Payment data is processed by Stripe and never stored on our own systems. Access to customer records is restricted to authorised personnel only.
6. International Transfers
Some of our service providers (including Google and Stripe) may process data outside the UK. Where this occurs, appropriate safeguards are in place including Standard Contractual Clauses approved by the ICO.
7. Changes to This Policy
We may update this privacy policy from time to time. The current version will always be available on our websites with the date of last update shown at the top of this document.
